TERMS & CONDITIONS
1. INTRODUCTION
These Terms and Conditions govern participation in the British Travel Awards (“the Event”), including but not limited to award entries, sponsorships, partnerships, attendance at the awards ceremony, promotional opportunities, associated marketing activities and voters’ prize draws.
By submitting an entry, booking attendance, accepting a sponsorship or partnership proposal, completing any online or offline form, providing a purchase order, submitting a vote, or otherwise engaging with the Event, you agree to be bound by these Terms and Conditions.
2. DEFINITIONS
Company means UK Travel Awards Ltd, trading as the British Travel Awards, whose registered office is:

Event means the British Travel Awards and all associated activities, websites, promotions, communications, ceremonies and prize draws.
Customer means any individual, company, organisation or representative participating in the Event.
Services means all services provided by the Company in connection with the Event.
Parties means the Company and the Customer collectively.
3. EVENT WEBSITES
These Terms and Conditions apply to all websites operated by the Company in connection with the Event, including:

4. COMPANY OBLIGATIONS
The Company shall use reasonable endeavours to:
Deliver the Event and associated Services professionally and in good faith.
Provide access to entry, voting, sponsorship and attendance processes.
Deliver benefits outlined in sponsorship, partnership and attendance packages.
Promote the Event and participating organisations in accordance with agreed arrangements.
Operate the awards fairly and transparently in accordance with published rules.
5. CUSTOMER OBLIGATIONS
The Customer agrees to:
Provide accurate and complete information.
Ensure they are authorised to enter into agreements on behalf of their organisation.
Comply with all published Event rules and deadlines.
Pay all fees when due.
Conduct themselves professionally at all Event-related activities.
6. AWARDS ENTRIES
Submission of an entry does not guarantee:
Shortlisting
Finalist status
An award
Any specific level of publicity
All award results are final.
The Company reserves the right to amend categories, category criteria, judging processes and award structures where necessary.
7. VOTING
Where awards are determined by public vote, the Company reserves the right to:
Verify votes.
Remove duplicate, fraudulent or suspicious votes.
Amend voting procedures where necessary.
Disqualify entries where voting manipulation is suspected.
The Company’s decision regarding voting eligibility and award outcomes shall be final.
8. VOTERS’ PRIZE DRAW
Where a voters’ prize draw is operated in conjunction with the Event, the following terms shall apply:
8.1 Entry into the prize draw is available only to eligible individuals who submit a valid vote in accordance with the published voting rules.
8.2 Prize draw winners shall be selected by a blind random draw process.
8.3 Upon submission of a vote, each voter record is assigned a unique reference number within the voting database.
8.4 The prize inventory is maintained separately from the voting database. Following the close of voting, a random number generation process is used to allocate reference numbers to each prize. These prize reference numbers are then matched against voter reference numbers to determine the winners.
8.5 Unless otherwise stated in the description of an individual prize, entry into the Voters’ Prize Draw will close at the official close of voting on 11 September. The prize draw will ordinarily take place on 15 September following the close of voting.
8.6 Winners will ordinarily be notified by email on 18 September following the prize draw, unless otherwise stated in the description of the relevant prize or where circumstances outside the reasonable control of the British Travel Awards require an alternative notification date.
8.7 The British Travel Awards will notify winners using the email address provided during the voting process.
8.8 The British Travel Awards may provide the winner’s contact details to the relevant prize provider solely for the purpose of administering and fulfilling the prize.
8.9 All prizes are supplied and fulfilled by the prize provider and not by UK Travel Awards Ltd. The British Travel Awards acts solely as the promoter and administrator of the prize draw.
8.10 The arrangement, booking, redemption and fulfilment of prizes shall be solely between the prize provider and the prize winner.
8.11 Each prize may be subject to additional terms and conditions imposed by the prize provider, including but not limited to availability, travel restrictions, blackout dates, age requirements, booking deadlines and validity periods.
8.12 Prize winners are responsible for complying with all terms and conditions imposed by the prize provider.
8.13 Unless otherwise stated, prizes are non-transferable, non-refundable and no cash alternative shall be available.
8.14 The British Travel Awards accepts no responsibility for the availability, fulfilment, cancellation, amendment, withdrawal or quality of any prize supplied by a prize provider.
8.15 The British Travel Awards reserves the right to substitute, amend or withdraw any prize where circumstances beyond its reasonable control make this necessary.
8.16 If a winner cannot be contacted, declines a prize, fails to comply with applicable prize conditions or becomes ineligible, the British Travel Awards reserves the right to select an alternative winner.
8.17 The decision of the British Travel Awards in relation to the administration of the prize draw and the selection of winners shall be final.
9. PAYMENT TERMS
Invoices are payable immediately upon receipt unless otherwise agreed in writing.
Purchase order numbers should be supplied within seven days of booking or entry.
Failure to provide a purchase order number does not invalidate the Customer’s obligation to pay.
Late payments may incur:
Interest at 2.2% per month.
Recovery costs.
Legal fees where applicable.
The Company reserves the right to suspend participation, promotional activity or attendance rights where invoices remain unpaid.
10. CANCELLATION & REFUNDS
Awards Entries
Entries may be cancelled within 14 days of booking or invoice date, whichever occurs first.
Following this period, entry fees are non-refundable.
Awards Attendance
More than 90 days before the Event:
90% refund
60–90 days before the Event:
50% refund
30–60 days before the Event:
25% refund
Less than 30 days before the Event:
No refund
Sponsorship & Partnership Agreements
Once promotional work has commenced, sponsorship and partnership fees become non-refundable following expiry of the 14-day cancellation period.
11. NON-ATTENDANCE
Customers who do not attend the awards ceremony may still win an award.
Any trophies requested after the Event may incur:
Production charges
Administration fees
Packaging costs
Delivery charges
12. INTELLECTUAL PROPERTY
All British Travel Awards names, logos, trademarks, branding and associated materials remain the property of UK Travel Awards Ltd.
Customers may only use award logos and assets in accordance with published brand guidelines.
Unauthorised use is prohibited.
13. CONFIDENTIALITY
The Company will treat all confidential information supplied by Customers as confidential except where:
Disclosure is required by law.
Information is already publicly available.
Disclosure is necessary to operate the Event.
14. DATA PROTECTION
The Company complies with UK GDPR and applicable data protection legislation.
Personal information will only be processed for legitimate business purposes connected to the Event.
By entering a voters’ prize draw, voters consent to their contact details being shared with the relevant prize provider solely for the purpose of prize fulfilment.
The Company’s Privacy Policy is available on the Event website.
15. LIMITATION OF LIABILITY
Nothing within these Terms excludes liability for:
Death or personal injury caused by negligence.
Fraud or fraudulent misrepresentation.
Any liability that cannot legally be excluded.
Subject to the above, the Company’s total liability shall not exceed the fees paid by the Customer.
The Company shall not be liable for:
Loss of profit
Loss of revenue
Loss of business opportunity
Reputational damage
Indirect or consequential losses
16. FORCE MAJEURE
Neither Party shall be liable for delays or failures caused by events outside its reasonable control, including:
Acts of God
Government restrictions
Industrial action
Terrorism
War
Public health emergencies
Venue closures
Severe weather
Utility failures
The Company reserves the right to postpone, relocate, cancel or deliver the Event in an alternative format where necessary.
17. CONDUCT
The Company reserves the right to refuse entry to, or remove from the Event, any individual whose behaviour is considered inappropriate, disruptive, abusive, discriminatory or unsafe.
No refund will be due in such circumstances.
18. GOVERNING LAW
These Terms and Conditions shall be governed by the laws of England and Wales.
Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
